Download Custom Form Submissions

Learn how notified users can view and download Custom Form submissions as CSV or PDF from the Custom Form Submissions page.

This article explains how staff (or other notified users) can access and download Custom Form submissions via the Custom Form Submissions page in the portal. It covers the three main sections of the page: My Forms, Form Packs, and My Exports.

Access Custom Form Submissions

Notified users can open submissions in two ways:

  1. From an email notification

    • Click the link in the submission notification email.

    • This takes you directly to the relevant Custom Form submission page in the portal.

  2. From the portal

    • Log in to the portal.

    • Open the Custom Form Submissions page (usually found under a Forms or Admin section, depending on your setup).

Once on the page, you’ll see three sections:

  • My Forms.

  • Form Packs.

  • My Exports.

Each section has its own purpose and download options.


My Forms – Download Individual Form Submissions

The My Forms section shows all Custom Form submissions that you are linked to.

Filter by date range

  1. In the My Forms section, review the date range fields.

    • By default, the minimum date is set to three months in the past.

    • The maximum date is not set (open-ended).

  2. If you want to narrow down the number of submissions:

    • Adjust the from and to dates to match the timeframe you’re interested in.

  3. Apply or refresh the view (if required by your portal setup) to see submissions within that date range.

Filter by specific student

If you’re looking for submissions linked to a particular student:

  1. Use the search bar at the top of the My Forms section.

  2. Type the student’s name to filter the list.

  3. Alternatively, click the arrow next to a form to expand and view more details or access submission download options for that form.

Once you locate the form/submission you need, you’ll usually see options to download responses (CSV or PDF) depending on your permissions and configuration.


Form Packs – Download Submissions For A Pack

The Form Packs section lets you work with submissions for a specific Custom Form Pack.

  1. In the Form Packs section, find the form pack you want to view.

  2. Click the arrow next to the form pack.

  3. All Custom Forms within that pack will be displayed on the page.

Download pack form submissions

  • If you are linked to a particular Custom Form within that pack:

    • You will see options to download submissions for that specific form (e.g. CSV or PDF).

  • If you are not linked to a particular Custom Form:

    • The option to download submissions for that form will not be available.

This ensures users only see and download submissions they are allowed to access.

📌Note: Users must complete all forms in a form pack in order to submit the pack as completed. Incomplete form packs may not appear as fully submitted in reports.


My Exports – Retrieve Your Download Files

Whenever you request a CSV or PDF download from My Forms or Form Packs, you are redirected to the My Exports tab.

The My Exports section is where your requested files are generated and stored.

Download a completed export

  1. In My Exports, find the export request you submitted.

  2. When the export is ready, look at the Download column.

  3. Click the Download button to download the CSV or PDF file to your device.

Delete an export

If you no longer need a file:

  1. In My Exports, find the relevant export row.

  2. Click the Bin icon to delete the request and remove it from your list.

This helps keep your list of exports tidy and avoids confusion with older files.
