Set Up Leave Request Forms

Add Leave Request Forms to the portal, create the required submissions page, and plan how requests will be routed and managed.

Leave Request Forms let parents and guardians submit planned absence requests through the portal. This gives schools a central, secure place to receive and manage requests without relying on emails or phone calls.

You can create multiple forms for different purposes, such as Off Sport or Holiday Requests, and configure notifications for each form separately.

⚠️Important: If you want staff to be able to approve or deny leave requests in the portal, please contact the Support team to enable this functionality.

Plan Your Leave Request Forms

Before you set up the forms, decide how you want them to work.

Consider the following:

  • How many forms you need: You can create as many leave request forms as required.

  • Who should receive the requests: Notifications can be sent by email based on year group or to specific staff members.

  • Whether different request types need different notice periods: You can set a required notice period so requests cannot be submitted within a defined number of days before the leave starts.

  • Who will approve or deny requests: For example, you may want Off Sport requests to go to the Head of Games, while Holiday Requests go to a specific staff member for that year group.

If approval is enabled, staff can also include a message when approving or denying a request, and the portal keeps a full audit trail of those actions.


Add A Leave Request Form Page

To display a Leave Request Form in the portal, you need to create a Leave Request Form page in Content Manager.

  1. Click Content, then click Content Manager.

  2. Next to the relevant Section heading, click Add new page.

  3. In Page Type, click Leave Request Form.

  4. In the Content section, complete the following fields:

    • Section – click the section you want the page to appear under.

    • Page Name – enter the name you want users to see.

    • Tags – use the predefined tags if required.

    • Content – add any page content if required.

  5. In the Permissions section:

    • Select Page enabled? if you want the page to appear immediately.

    • Clear Section visible to all users? if you want to set specific School, Year Group, or User permissions.

  6. Click Save.

The Leave Request Form page is now available in the portal.


Add A Content Form Submissions Page

Leave Request Forms also need a Content Form Submissions page so submitted requests can be viewed and managed.

📌 Note: You only need one Content Form Submissions page for Leave Request Forms, Absence Forms, and Content Forms.

  1. Click Content, then click Content Manager.

  2. Next to the relevant Section heading, click Add new page.

  3. In Page Type, click Content Form Submissions.

  4. In the Content section, complete the following fields:

    • Section – click the section you want the page to appear under.

    • Page Name – enter the name you want users to see.

    • Tags – use the predefined tags if required.

    • Content – add any page content if required.

  5. In the Permissions section:

    • Select Page enabled? if you want the page to appear immediately.

    • Clear Section visible to all users? if you want to set specific School, Year Group, or User permissions.

  6. Click Save.

The submissions page is now ready to support Leave Request Forms and other related form types.


Approval And Notification Setup

Leave Request Forms can send notifications automatically, and approvals can be routed to different people depending on the form type or year group.

Examples include:

  • Sending Off Sport requests to the Head of Games.

  • Sending Holiday Requests to a specific staff member for a year group.

If you want staff to approve or deny requests within the portal, contact Support to enable this feature.
