You can use the Payments feature for a range of payment types in the portal, including student fees, tuition, trip instalments, donations, uniforms, meal plans, and other student-related costs.
Any payment method already enabled in your portal for custom payments can be used for this feature.
πNote: Before you add a Payments page to the portal, at least one payment method must have Use Payment Method For Arbitrary / One-Off / Custom Payments? enabled.
When To Use Payments
You can use the Payments feature for:
Student fees or tuition.
Trip payments, including staged payments.
Donations from alumni or guardians.
Uniforms, meal plans, and other student costs.
For example, if a trip costs Β£100, you can split this into multiple staged payments, such as five payments of Β£20.
When using payments for trips or other staged costs, it is helpful to tell guardians:
The amount due.
Where to find the page in the portal.
The reference they should use for the payment.
The payment reference can be anything your school chooses, such as:
A trip name.
A student name.
An alphanumeric reference.
Enable A Payment Method For Custom Payments
To use the Payments feature, at least one payment method must be configured for arbitrary, one-off, or custom payments.
On the left-hand menu, click General, then click Payment Methods.
Open the payment method you want to use for the Payments page.
Make sure Use Payment Method For Arbitrary / One-Off / Custom Payments? is ticked.
Click Save Changes.
Once this option is enabled on at least one payment method, you can add a Payments page to the portal.
Add A Payments Page In Content Manager
On the left-hand menu, click Content, then click Content Manager.
Next to the relevant Sections heading, click Add new page.
In the Page Type menu, click Payments.
In the Content section, complete the following fields:
Section β Click the section you want the page to appear under.
Page Name β Enter a name for your page.
Tags β Use the predefined tags if required.
Content β Add any content if required.
In the Permissions section, complete the following fields:
Page enabled? β Check this checkbox if you want the page to display immediately.
Section visible to all users? β Clear this checkbox if you want to set specific School, Year Group, or User permissions.
Click Save.
The Payments page is now available to users based on the permissions you selected.
Find Payment Records In The Admin Tools
To view a record of payments made through this feature:
Go to Admin Control Panel.
Click Extra Curricular.
Click Payments.
This area shows the payments made using this method.
