Create A Message Using The Communications Tool

Create a bespoke message in the Communications tool, choose recipients, and build your email using the drag-and-drop editor.

You can use the Communications tool to send custom messages to your users. Messages can be sent immediately, scheduled for later, or saved as a draft until you’re ready to send.

Before you create a message, make sure:

  • You’ve added a Messages content page in Content Manager (so users can view messages in the portal).

  • You’ve created any mailing lists you want to use (optional if you’re only sending to individuals).

Create A New Message

  1. Log into My School Portal.

  2. Click Admin Control Panel.

  3. Click Communications, then click Messages.

  4. Click Add New Email.


Select Recipients

  1. In the Recipients drop-down, choose one of:

    • A mailing list (to send to a group), or

    • Individual users (if you are sending to specific people only).

  2. To exclude specific users from the message:

    • Tick the Exclude Recipients? checkbox.

    • Use the drop-down to select the users you want to exclude from this send.

  3. Enter a Subject for your email.


Build The Message Content

The message uses a visual email editor.

  1. In the Message field, click the plus button to start building your email.

  2. Use the toolbar icons to add and format content. The menu changes slightly depending on where your cursor is (e.g. in text, on an image, or on a content block).

Add

Opens a drop-down menu to add new objects to the message.

Merge Fields

Allows you to add fields which are dynamic depending on the recipient and any students.

HTML

Opens the HTML editor to modify the message code directly.

Format

Opens a drop-down menu to allow for text formatting (Eg: Headings, bullet points).

Text Size

Opens a drop-down menu to change the size of new or existing text.

Bold

Applies bold to new or existing text.

Italics

Applies italics to new or existing text.

Underline

Applies underline to new or existing text.

Deleted

Applies Strike-through to new or existing text

List

Adds a bullet or numbered list.

Link

Allows you to create a link to other webpages via hyperlink. Existing links can be edited via this button, also.

Image

Allows the insertion of an image into the body. If an image is currently selected, allows you to edit that image.

Table

Inserts a data table into the body of the message.

Snippet

Adds already built structured snippets to the message for you to use as a starting point.

AI Tools

Highlight a specific set of texts then use this drop-down menu to make adjustments to it.

Templates

Load in a template which has been made earlier. Useful for sending regular emails that have a similar structure.

Mobile View

Allows you to view the message as though you're looking from a mobile device.

Body

Allows you to modify the formatting of the body of the message. Includes padding, background colouring, and borders.
